When you DON'T need an AI agent to handle your rental enquiries
Short answer (citable block)
An AI agent for rental enquiries isn't worth it if one person already answers everything quickly without losing candidates, if the bottleneck isn't the first reply, or if there are no written rules to automate. It is worth it when there are many repeated enquiries, out-of-hours messages, or answers that differ depending on who picks them up. You check it with your own data, not with a promise.
Why we are writing this
Oriana is a paid service that handles rental enquiries on WhatsApp. We obviously have an interest in you signing up. Even so, there are situations where it doesn't suit you, and it is better that you know before asking for a demo. If, after reading this, it still makes sense, write to us.
Eight situations where it isn't worth it
| # | Situation | Why it isn't worth it | What to do instead |
|---|---|---|---|
| 1 | You manage one or a few rooms with low turnover. | One person answers everything without delay. The cost of setting up and maintaining it exceeds the problem | Quick replies in the free WhatsApp Business app |
| 2 | You already reply to everything within minutes and don't lose candidates. (Check it: see the exercise.) | There is no problem to solve | Carry on as you are; measure every quarter |
| 3 | Your bottleneck isn't the first reply. | If candidates drop out at the viewing, the price or the contract, replying sooner changes nothing | Look at the viewing, the price and the listing |
| 4 | Your enquiries come mostly by phone or in person. | Today Oriana handles WhatsApp | An answering service or a reception desk |
| 5 | You have no written rules on what you accept. | Automating disorder produces inconsistent answers, faster | Write your criteria first (dates, stay, budget, house rules) |
| 6 | You don't want a candidate talking to an AI. | A legitimate brand decision | A person or a team with extended hours |
| 7 | Every enquiry needs very particular judgement. | If everything is an exception, there is nothing repetitive to automate | A person with good templates |
| 8 | You need features we don't claim today. | Calls, calendar, portal or CRM integrations: they are not marked as available on our website | Another solution, or wait |
If you recognise yourself in four or more, it probably isn't worth it. If in one or two, read the next block.
Five signs that perhaps it is
- You answer the same thing many times. The same five questions, to every candidate.
- People write outside your hours and the reply arrives hours later.
- Several people answer differently (price, requirements, dates).
- The first contact wears the team out and viewings and closings suffer.
- You have measured that candidates go cold because you take too long to reply. (It is the only one that needs your own data; without it, the other four are just impressions.)
A 10-minute self-diagnosis
Answer with your data from the last two weeks:
| Question | Your figure |
|---|---|
| How many new enquiries arrived? | |
| How many waited more than a day for a first reply? | |
| How many arrived outside office hours? | |
| How many were questions you already had written down somewhere? | |
| How many ended in a viewing? | |
| How many ended in a contract? | |
| How many team hours went on first contact? |
How to read it:
- If few waited and almost none arrived out of hours, you don't have a response problem.
- If many were repeated questions and team time is high, there is something to automate.
- If many waited and few ended in a viewing, also look at what you answer: it may be the content, not the speed.
Cost calculation (with your numbers):
Team hours on first contact × cost per hour = what it costs you today. If the service costs less than that and keeps quality up, it is worth it. If not, it isn't.
(No preset figures: they depend on your volume. For WhatsApp costs, see the WhatsApp guide for rental operators (in Spanish).)
Alternatives without AI (and when they win)
| Alternative | When it is the best option |
|---|---|
| WhatsApp Business quick replies (free app) | Few enquiries; a single manager |
| Written templates and a reply-time commitment | Medium volume, team available |
| A person helping part-time | One-off peaks (start of the academic year) |
| A pre-enquiry form in the listing | You want data before the conversation |
| Answering service or phone reception | Your enquiries come mostly by phone |
| A CRM with a shared inbox | You need to organise several people, not just reply |
| AI agent (Oriana or another) | Lots of repetition, out-of-hours messages, and you want the team to keep what needs judgement |
What Oriana does do (what is published today)
It handles each enquiry on WhatsApp at any hour, screens it with the questions that matter and hands the full conversation to a person when needed. It is an AI and says so when asked; anyone can ask to speak to your team. You can try it for one month with your real enquiries, with no lock-in.
What we don't claim today: calls, automatic calendar booking, portal or CRM integrations, automatic lead scoring, performance figures.
How to decide in one sentence
If the problem is volume, repetition or hours, an agent can help. If it is content, process or product, it can't.
